Alaris and its Affiliates (collectively “Alaris”) is committed to protecting your privacy online. Our pledge is to safeguard any personal information that you provide us, and to make every reasonable effort to use this information only as you choose. If you are accessing our services from within the European Economic Area, the services are provided by Kodak Alaris Limited; if you are accessing the services from outside the European Economic Area, they are provided by Kodak Alaris, Inc. (each individually “Kodak Alaris”).

Scope of This Notice

The goal of this Privacy Notice is to advise you of the personal information that Alaris collects when you use the Alaris Partner Portal (“the Portal”) and how we use that information. This Privacy Notice also describes the choices you have regarding how this information is used.

Using Your Information

Alaris only uses your personal information for the purpose of conducting business with you. Some examples include:

  • registering you for membership in Incentive Programs
  • creating and maintaining your accounts
  • registering deals
  • dealing with claims for marketing funds
  • processing, fulfilling, and following up on pricing request and orders
  • answering your email
  • communicating with you
  • sending colleagues information on your behalf
  • surveys

We also use this personal information to provide you with information related to your account, the products or services you have and/or wish to purchase from us, to better understand your needs and interests, to improve our service and to personalize communications.

How We Collect and Use Your Personal Information

Here are the types of personal information we gather, and how we use it.

1. Information Collected when you register to create an Account on the Portal

If you decide to register to become a member on the Portal, then, Alaris will collect, process and use your information in the ways described in this Notice.

When you register for an Account, we may ask for personal information, such as your name, company details, email address and telephone number.

We use the information collected when you create an Account to:

  • Manage your Membership
  • provide you with products and services
  • deal with your enquiries and requests
  • administer your orders
  • provide you with information about our own products and services which we believe will be of interest to you via e-mail (with your prior consent where required by applicable law).

2. Information collected and used when you register a Deal in the Portal

The deal registration form collects the following kind of information:

  • company details (co. name and address)
  • contact details (name, title, contact info.)
  • project details (describe the solution, RFP or not, competitor or not, probability of winning, etc.)
  • pipeline details (hardware, software, services that make up the deal)
  • deal status (estimated close date, status in the sales lifecycle)

Alaris acknowledges that as part of the Deal Registration process, you may be required to input personal data of third parties, including but not limited to end customers. In registering a deal in the Portal, you represent and warrant to Alaris that you have obtained all consents required by law, pertaining to the purpose and means identified in this Privacy Notice from the end customer or third party.

We use the information collected when you register a Deal to:

  • work with you to manage the opportunity
  • offer additional discounts, where applicable
  • provide support for quoting

3. Information collected and used when you submit a Marketing Funds Claim

The marketing funds request form requires the following kind of information:

  • description of the activity for which the partner is requesting funds (event, advertising, etc.)
  • the expected audience reached (number of people, market)
  • expected Return on Investment.

We use the information collected when you submit a claim to:

  • approve the activity
  • approve the amount claimed

4. Information collected and used when you submit a reward or rebate claim

The reward and rebate claim form requires the following kind of information to be completed:

  • details of the products purchased, including purchase date, product model, quantity
  • partners involved in the transaction
  • proof of the completed transaction

We use the information collected when you submit a claim to:

  • approve the transaction
  • approve the reward or rebate claimed

5. Information automatically collected and how this information is used

We use common internet technologies such as cookies and beacons to ensure the integrity of our site and to customize portions of the site for you.

Cookies: Cookies are small pieces of information stored by your browser on your computer's hard drive, at a web site's request. Alaris cookies do not contain any personal information, but are used primarily as follows:

  • to keep track of temporary information. For example, cookies allow us to keep track of the pictures you upload and download;
  • to register you in programs, cookies allow us to remember you when you login to the places on our site that require Membership;
  • to remember your country and language preferences;
  • to help us understand the size of our audience and traffic patterns;
  • to collect and record information about what you viewed on our Web site and what you viewed in our email;
  • to manage and present site information and the pictures displayed on your computer, and
  • to deliver information specific to your interests.

Web Beacons: We also place small "tracker gifs" or "beacons" on many of the pages on our website, in online advertising with third parties, and in our email. We use these beacons, in connection with cookies, to collect non-personal data on the usage of our site including but not limited to the date and time of the visit, the pages visited, the referring web page, the type of browser (e.g., Internet Explorer, Firefox, Safari, Chrome, etc..), the type of operating system (e.g., Windows, Linux, or Mac), and the domain name of the visitor's Internet service provider (e.g., AOL). This information is collected about thousands of site visits and analyzed as a whole. This information is useful in, for example, tracking the performance of our online advertising such as online banner ads and to determine where to place future advertising on other web sites.

Disabling Cookies and beacons: If you are uncomfortable with the collection of such information through the use of cookies and beacons, we recommend disabling these features through your browser preferences, though please understand this will limit the performance and functionality of the Portal. Your browser documentation should provide specific procedures for disabling cookie and beacon support.

IP Addresses: We analyze IP addresses in the aggregate for system administration purposes and to gather broad demographic information. We do not link IP addresses to your computer's User ID, with the following exception: when you place an order using our online checkout process we record your computer's IP address with your order to help us identify fraudulent credit card use. We may share this information with the financial institution that issued the credit card with which an order was placed, or with law enforcement authorities if we determine, or are notified, that the use of the credit card was fraudulent.

Sharing Your Information

1. Sharing Your Information

Your personal information will not be rented or sold to any third party. Alaris may share your personal information as follows:

  • Companies who work on our behalf: We contract with other companies to perform business support functions on our behalf, which may involve limited access to your personal information. We require these companies to use the information only to provide the contracted services; they are prohibited from transferring the information to another party except as needed to provide those services. Some examples of these business support functions include order fulfillment, coupon fulfillment, award and rebate fulfillments, customer survey execution; and information systems management. We also may make aggregate non-personal information available to select service providers.
  • Alaris' Affiliates: We may share your information with other companies within the Alaris group of companies for the purposes of processing, analyzing or storing your personal information or otherwise as needed to provide our services to you, with the requirement that they not transfer your information to another party for marketing purposes, or use your information contrary to your expressed choices. Similarly, if one of our affiliates shares your information with us, we will not transfer your information to another party for marketing purposes or use your information contrary to your expressed choices.
  • Business Transfers: Alaris reserves the right to transfer your personal information in connection with the sale or transfer of all or a portion of our business or assets. If the business is sold or transferred, Alaris will transfer such information to the new business owner. In some cases, this may mean that the new organization will not be able to continue providing to you the services or products that Alaris provided.
  • Law Enforcement: Alaris may disclose personal information to third parties without your consent for any of the following reasons: to comply with any law, regulation or court order, to cooperate with Government investigations, to help prevent fraud or to enforce or protect the rights of Alaris or its subsidiaries.
  • With Your Consent: In all other cases, Alaris will obtain your express consent before sharing your information with third parties. For example, Alaris may conduct a joint offer or contest with a third party and you will be asked whether your personal information should be shared with that third party.

Note that some of the affiliated group companies, service providers and other third parties identified above may be based in territories that are outside of the European Economic Area and not governed by European data protection laws and that may not provide for the same level of protection. However, where this is the case, we will take measures to ensure that your personal information is protected in accordance with this Privacy Notice.

The Portal may contain links to and from other web sites and Alaris is not responsible for the privacy practices of those Web sites. Alaris encourages you to ascertain the privacy practices of those web sites.

Your Choices

1. Your Choices about Receiving Notification from us

When using the Portal, Alaris may send you e-mail or other notification about your orders and in response to your questions, or as otherwise required to handle the contractual relationship with you.

We may further decide to send you marketing e-mails and other notifications with information about products and services of the Alaris group that we believe will be of interest to you, but we will always obtain your prior consent to such types of communications where this required under applicable law. You may access the wording of the consent declarations you have made, if any, at any time by sending a respective request to the contact information provided under the "How to Reach Us" section below.

You can opt-out of receiving marketing communications at any time, and withdraw any marketing consent declaration given (if any) with effect for the future, by contacting us at the address indicated in the "How to Reach Us" section below or using the functionality offered in the last communication you received from us.

2. How You Can Remove Information

You can request Alaris to remove all your Portal data stored by Alaris by notifying our privacy office. See the “How to Reach Us” section below for details.

Removed information may persist in backup copies for up to 100 days.

3. Protecting Your Information

Alaris implements a variety of administrative, managerial, and technical security measures to help protect your personal information. Alaris has Internal Control Standards which relate specifically to the handling of personal information. These include certain controls to help safeguard the information we collect online.

Alaris employees are trained to understand and comply with these controls and we communicate our Privacy Notice, practices and guidelines to our employees. However, while we strive to protect your personal information, you must also take steps to protect your information. We urge you to take every precaution to protect your personal information while you are on the Internet. Please refer to the individual Partner app’s privacy policy for details on how they protect your information.

4. Keeping Your Information Accurate

You may send an e-mail to the address noted in the "How to Reach Us" section below to request a change to your information or a copy of the personal information we have collected about you online. To protect your privacy, proof of identity is required.

5. Your Rights

In accordance with applicable law, you have the right to access and request information about the personal information stored by Alaris and, as appropriate, the right to have those data updated, rectified, or deleted or to object to its processing for legitimate reasons. To exercise your rights, or in case you have any questions about the collection and use of your personal information under this Privacy Notice, please contact Alaris as indicated under the "How to Reach Us" section below.
